Small Party Package

This package is for events that are smaller, but still need help planning, designing and coordinating the entire event from start to finish. This package includes recommendations, styling/design, scheduling visits, meetings and coordination. We’ll help you make financial decisions and book the venues and services you need. We’ll accompany you on site visits and vendor meetings, and fall in love with your dream as much as you have.

PRE-EVENT PRODUCTION

  • Recommend vendors in accordance with event budget and style

  • Attend one site visit with client to establish the event style, direction and flow

  • Unlimited phone and e-mail communication/advice for client

  • Regularly check on client’s progress and to do list

  • Creation and advisement of budget

  • Review all vendor contracts

  • Décor conceptualization and stylistic input

  • Assistance with save the date, invitation, and menu wording

  • Advisement on menu planning

  • Help with the following: Guest list, RSVP’s, seating plan, photography shot list, payment schedule, and music

  • Create complete timeline for celebration and share with all vendors

  • Serve as point of contact/liaison for all vendors beginning eight (8) weeks prior to event date

EVENT WEEK

  • Attend final meeting with client and collect all celebration elements

  • Confirm all details and arrival times for vendors

  • Provide schedule for family and VIP guests

  • Coordinate all printed materials

EVENT DAY

  • Gianola Event Director & Coordinator (up to 8 hours)

  • Coordinate all aspects of event celebration

  • Oversee check-in of rentals

  • Create “steps of service” for catering team

  • Coordinate all deliveries and installations of celebration in accordance with vendor contracts

  • Coordinate distribution of final payments and gratuities

  • Organize and set up escort cards, place cards and menu cards

  • Cue all music changes and speeches with band/DJ

  • Serve as point person for all vendors—cueing timing throughout event

  • Manage and remedy all moment-to-moment challenges

  • Arrange favors (if applicable)

  • Collect any celebration elements and gifts

  • Double check return/pick up of all rental elements from caterer and floral designer

Essentials Package

The Essentials package is great for individuals who are nearly done planning their event or wedding, but needs professional help to manage execution and details, while solving any problems that may arise. Gianola Events has perfected the art of last-minute changes, unforeseen situations, and the occasional “oops.” Don’t let these things put a damper on your beautiful day. We’ll take care of it all.

 

PLANNING & PREPARATION

  • Guidance begins 6 to 8 weeks prior to event date

  • Up to 2 in-person planning consultations

  • 1st meeting – review vendor contracts and produce timeline of event day

  • 2nd meeting – final detailed meeting with client and meet at venue if available

  • Venue walk thru

  • Create detailed event day timeline for vendors and event party

  • Recommendations or suggestions via phone or e-mail

VENDOR COORDINATION

  • Review vendor contracts and payments

  • Coordinate and distribute event day timeline for vendors

  • EVENT REHEARSAL (if needed)

  • Direct event rehearsal

  • Distribute timeline to event party

  • Provide information on duties

EVENT DAY SERVICES

  • Gianola Event Director & Coordinator (up to 10 hours)

  • Setup supervision, overall management of event

  • Manage the timing of the event with event party, family members and vendors

Have a few things planned, but need help with the rest? We can keep your calendar on track and help make your vision a reality. The Polishing is a great package for individuals who need a professional to fill in the gaps.

This package is optimal for clients who want to be involved in the process, but need help bringing all of the details together into a seamless event. Our expert guidance will help lead the way. If you’ve decided on some of the details, or you’re just beginning the process, we can help you lock in the perfect venue and meet the right vendors.   • Coordinating pinning of boutonnières and ensuring VIP’s receive flowers

  • Acting as the point of contact for all vendors

  • Assisting the family, wedding party and guests as needed

  • Distributing final payment and gratuity to vendors

  • Providing a stocked emergency kit

  • Dealing with any unforeseen hiccups

Corporate Event Package

CONFERENCE

Conference preparation begins months in advance. Planning should start 9-12 months before the date in order to make sure that we have everything in place, from the marketing plan, to the content, to the event logistics to the sponsors.

In the months leading up to your conference, you should start to collect email addresses from interested prospects, and give them updates along the way that will help convince them to get a ticket. While you are working on ticket sales, Gianola Events will be working on the logistics to make sure we give your clients the best experience from start to finish.  

Gianola Events will help plan, coordinate, implement, and responsible for all aspects of the event. This includes, but is not limited to:

  • Site inspections

  • Venue negotiations

  • F&B negotiations and selection

  • Speaker curation

  • A/V assessment and negotiation

  • Room blocks

  • Budget management

  • Facilitation of airport transfers and event transportation

  • Collection and management of attendee list and responses

  • Coordination of event related collateral (name badges, invitations, website, programs, menus, etc)
