Conference preparation begins months in advance. Planning should start 9-12 months before the date in order to make sure that we have everything in place, from the marketing plan, to the content, to the event logistics to the sponsors.

In the months leading up to your conference, you should start to collect email addresses from interested prospects, and give them updates along the way that will help convince them to get a ticket. While you are working on ticket sales, Gianola Events will be working on the logistics to make sure we give your clients the best experience from start to finish.  

Gianola Events will help plan, coordinate, implement, and responsible for all aspects of the event. This includes, but is not limited to:

  • Site inspections

  • Venue negotiations

  • F&B negotiations and selection

  • Speaker curation

  • A/V assessment and negotiation

  • Room blocks

  • Budget management

  • Facilitation of airport transfers and event transportation

  • Collection and management of attendee list and responses

  • Coordination of event related collateral (name badges, invitations, website, programs, menus, etc)

  • Vendor relations

  • Event debrief sessions including detailed financial recap and follow up strategies

  • Event onsite support

  • Other duties as needed


A successful and effective business meeting is one which is well planned. It should be planned well in advance that who all would be the participants in meeting, the time, venue, and agenda of meeting. 

Gianola Events will successfully plan and execute meetings, conferences and events. Events may include client Due Diligence Meetings, internal Sales Meetings, Board of Directors Meetings, Strategic Planning Meetings. We will provide exemplary customer service skills with the ability to utilize strong contract negotiation skills, excellent accuracy and attention to detail, and solid problem solving skills. We will be flexible to your needs, and have excellent interpersonal skills, with the ability to work well with all levels of your staff as well as outside clients and vendors.

This includes, but not limited to:


  • Work with client to gather event requirements and make appropriate and creative recommendations

  • Create and present budget forecasts, vendor proposal comparisons, and schedule of events amongst other meeting materials

  • Research and negotiate vendor services, ensuring the best quality and value while staying within budget guidelines provided by clients and adhering to upmost standards

  • Manage registration needs at the event and onsite

  • Confirm deliverables with all parties prior to the event and follow checklists to ensure proper event execution

  • Provide onsite support events as necessary, to ensure event adheres to schedule and resolve any unexpected problems

  • Reconcile event expenses and evaluate effectiveness of the event
